Three questions to virtual meeting bliss

Zoom fatigue is real; but it doesn’t have to be. This series of questions – along with the unique features of Nynja – can help make virtual meetings blissful:

1) Is it necessary? With the ease of setting a virtual meeting, many meetings occur unnecessarily.

Steer clear of this professional pitfall by examining the question of whether a meeting is truly needed – or, if your goal can be accomplished another way. You can use Nynja for a direct voice or message exchange to save valuable time and energy.

 2) How long should it be? While we typically default to an hour for most virtual meeting invites, many meetings can be completed in far less time. Avoid filling the remaining air time with superfluous chatter by thinking through the meeting outcomes and defining (and including) an agenda before you hit send.

  • Reserve a few minutes for introductions (in the case participants are meeting for the first time) and to lay out the meeting context, agenda, and purpose. Give everyone a moment to weigh in to ensure alignment.

  • Identify discussion items and allocate 5-15 minutes for each, depending on complexity. Be clear about what information is needed, and get ready for a subject change if the conversation turns into a cul-de-sac.

  • Spend the last 5 or so minutes recapping takeaways and action items – including who’s doing what. In a larger group, this might require that you set roles in advance, such as a facilitator and notetaker.

3) Audio or video? While many of us benefited from the face-to-face interaction of video meetings during the pandemic, they may no longer be the best way to proceed. In fact, a 2021 American Psychological Association study revealed that turning off your camera may result in meetings that are more productive and less draining.

For regular check-ins, take advantage of Nynja’s default setting of audio-only (formerly known as the conference call) and make video optional. For meetings that require a higher level of engagement, ask participants to go video on – especially when they are speaking and during group discussion.

Now that the hard part is done, you can get to scheduling your virtual meeting (or not). The NYNJA meeting function streamlines scheduling, and automatically calls participants at the allotted time. Exploring these three questions in advance shows you value their time – making them more likely to answer.

Keep current – and share the good news

Mondays are about taking a pulse that sets the vibe for the rest of the week. And whether you’re a news junkie, fashionista, or sports fan(atic), scanning your favorite places on the web can make you feel more plugged in and ready to roll.

To take it a step further, the act of sharing positive news can help to bolster morale and boost optimism for both in-person and remote workers, alike. A 2020 MIT-Sloan Management Review study conducted at the height of the pandemic revealed that employees who received an experimental nudge to consume – and discuss – good news were 18% more optimistic, 32% less anxious, and 12% more likely to feel grateful than their un-nudged counterparts.

The takeaway: good news is good for you. So, as you peruse the headlines, curate some positive stories to share with your friends and colleagues. This habit can also serve as a bookend to the beginning or end of your work day, helping to create boundaries that support a healthy work/life balance.

Ready to start? Integrated into the NYNJA mobile app, NYNJA Custom Shortcuts make it super simple to build – and check – your customized list of links on the go.

Make Mondays smooth with smart preparation habits

Mondays are how you make them, and that little bit of extra preparation can be the difference between Monday blues and Monday smooth. After all, the art of the nynja requires discipline and focus.

A few basic preparation habits – completed at the week’s end or very beginning – can lead to a happier weekend and smoother sailing for the week ahead:

Prioritize your to-do list.

Whether it’s the thing that’s easiest, is due next, is the one you’re procrastinating on – or all of the above, prioritizing and clarifying your to-do list can help to assuage work-related worries. Once it’s on a prioritized list, whether digital or analog, you can assume it’s as good as done. And that creates mindspace to enjoy time off.

Share a status update.

With messages coming in via email, text message, social media, and collaboration platforms, it can be a challenge to keep up. However, a short response to a colleague or supervisor sharing the status of an outstanding item – or a thumbs up acknowledging the last message in a thread – makes sure no one is left wondering.

Nynja makes it easier to share information between team members or find files that have been sent to you previously. You can also schedule messages to go out later, so you don’t have to remember to follow up later.

Do a calendar run-through.

It’s the work moment we all dread: Your last call went long and now you’re arriving at a meeting late and need to jump into the middle of a discussion. . . having spent zero time looking at the meeting content in advance. If you’re asked to weigh in without having prepped, you may be forced to say some TLA (three-letter acronym) or other nonsensical work jargon.

There’s no need to start your week off with that feeling of dread! Scan your calendar on Sunday night or before you engage on Monday morning. Thinking through your role, and making a few notes on important items ensures you are prepared – even if the meeting right before runs over. Now, you can have an intelligent response when the floor turns to you.

A quick glance at your NYNJA Dashboard can help support proactive habits like these. Available on desktop, the dashboard offers access to your unread, scheduled, and starred messages, pinned conversations, new contact requests, and events – all in one place. This allows you to catch up with your colleagues and get mentally ready for the week ahead in a single (stealthy) swoop.

Make Mondays smooth by getting ahead with smart preparation habits. Your future self – and your boss – will thank you.
